Who we are

RS Solutions, 1135 Squires Beach Rd, Pickering, ON. You can reach us at service@rssolutions.ca or (647) 259-7119. We are responsible for the personal information described here.

What we collect

When you send us an inquiry, book a service or apply for the Appliance Repair Workshop (on our website, or through a lead form on Facebook, Instagram or Google), we collect your name, email address and phone number, and anything else you choose to tell us.

When you pay, the payment is taken on Clover's secure page. We do not see or store your full card number. We keep a record that a payment was made, its amount, and the card brand and last four digits.

To protect against fraudulent bookings we also keep when and from where an application arrived: the IP address, the approximate location, the browser type, and which ad or link brought you to us.

How we use it

To answer you, send you the payment link, confirm your seat or booking, run the service you asked for, and check that a payment is genuine. We may phone you to confirm your details. We use your contact details to tell you about the workshop or the service you asked about. We do not sell your information.

Advertising and measurement

Our website uses the Meta pixel and Google's tags to measure which ads lead to inquiries and bookings. These tools are run by Meta and Google under their own privacy policies. If you submit a lead form inside Facebook or Instagram, Meta shares what you entered with us.

Who else sees it

Only the services we need to run this: our hosting and storage provider, our email and text-message providers, Clover for payments, Plaid for our own business bank data (see below), and Meta and Google for the advertising tools above. If we deliver or service an appliance for a business client, we share the delivery details with that client. We may also disclose information if the law requires it.

Deliveries and service calls

When we deliver, install, collect or repair an appliance, we collect the recipient's name, phone number, address, the items involved, and any access notes. The driver or technician records proof of delivery: photos, a signature, and the time on site. We use this to do the job, to resolve damage or warranty claims, and to give the business that hired us (our client) confirmation that it was done.

Our drivers use a phone app. While the app is open it can send the phone's location to our dispatch office, so we can run the day's stops. Drivers are told this on screen. We keep those location records for 30 days.

Business bank data

We use Plaid Technologies, Inc. ("Plaid") to connect our own business bank accounts to our bookkeeping. This is the company's account information, not a customer's: only our administrators link an account, and customers are never asked to connect a bank to us.

Through Plaid we receive the transactions on those accounts (date, amount and description). We use them to record business expenses, match incoming payments to jobs and invoices, and prepare tax and HST filings. Because customers and clients may pay us by e-transfer, a transaction can include the name of the person or business that paid us; we use that only to match the payment and keep our books.

We never see or store anyone's online banking username or password; they are entered in Plaid's secure window. We hold only an access token and the transaction data. Access is limited to authorised people (our administrators, whose accounts sign in with two-step verification, and our accountant). Plaid handles the data it processes under its own privacy policy at plaid.com/legal. We keep bank transaction records as accounting records for six years, as Canadian tax law requires, and remove the bank connection when we no longer need it.

How long we keep it

We keep inquiry and enrolment records for as long as we need them to run the service, answer disputes and meet tax and legal requirements. Invoices, payment and bank records are kept for six years for tax purposes; delivery records (photos and signatures) for two years after the job, unless a claim is open; and driver location records for 30 days. You can ask us to delete your information and we will, unless we are required to keep it.

Your choices

You can ask to see, correct or delete the information we hold about you, or stop us contacting you about the workshop, at any time. Email service@rssolutions.ca.
